A tractor availability spreadsheet gives dispatchers and fleet managers a current view of which units can move, which are committed, and which need attention. This free Excel template records tractor identity, terminal, location, status, driver or route assignment, expected availability, mileage, fuel, PM due points, safety holds, and update times.

Built around three connected sheets, the file separates operating entries from assumptions and summary results. Tractor Availability holds the fleet records, Settings controls thresholds and list values, and Dashboard reports readiness, return timing, terminal results, and exceptions. It represents a manually maintained fleet snapshot rather than a live equipment feed.

How to use the file

Configure the fleet snapshot

Start on Settings by updating the orange assumption cells in Settings!B4:B9. Enter the As of Date and Time, PM Warning Miles, PM Warning Days, Minimum Dispatch Fuel, Stale Update Days, and Dispatch-Ready Target. Those values control date comparisons, PM warnings, fuel readiness, stale-record checks, and the target displayed on Dashboard.

Enter one current record for each tractor

Then use the yellow input cells in Tractor Availability!A:R. Enter Unit ID, Year, Make, Model, VIN Last 8, Home Terminal, Current Location, Current Status, Assigned Driver, Load or Route, Expected Available, Odometer, Fuel Level, Next PM Due Miles, Next PM Due Date, Safety Hold, Open Issue or Hold Reason, and Last Updated.

Rows 6 through 505 are prepared for up to 500 tractor records. Populated entries such as T-101 and T-102 are sample records and should be replaced or cleared when setting up an operating file. Blank prepared rows are available for additional tractors, and their calculated formulas are already present.

Preserve and review calculated columns

Keep the gray cells in columns S:X unchanged. Formulas calculate Miles to PM, Days Until Available, PM Status, Dispatch Ready, Availability Bucket, and Data Check. Miles to PM subtracts the current odometer from Next PM Due Miles, while return timing is measured against the As of Date and Time entered on Settings.

Use dashboard results to prioritize updates

Finish on Dashboard after entering the latest snapshot. Review total tractors, dispatch-ready count and rate, assigned or in-transit units, and tractors in maintenance or out of service. Status counts, availability windows, attention items, and home-terminal results recalculate from the fleet rows and current settings.

Review current tractor availability on the dashboard

Use the headline measures to read the current fleet position: Total Tractors, Dispatch Ready, Dispatch-Ready Rate, Assigned or In Transit, and Maintenance or Out of Service. The As of value comes from Settings, as does the dispatch-ready target shown near the top.

Below those totals, Fleet Status Summary separates Available, Assigned, In Transit, Maintenance, Out of Service, and Reserved units. Availability Outlook counts Available Now, Within 24 Hours, 2–3 Days, 4–7 Days, More Than 7 Days, Past Due ETA, and No ETA. One current-status chart plots the six status counts.

Maintain consistent tractor records

Record one current row per tractor so the Unit ID count represents the fleet snapshot accurately. Identity and assignment fields sit beside operational fields, allowing users to compare where a unit is, what it is doing, when it should return, and whether fuel, maintenance timing, or a hold affects availability.

Built-in validation limits selected entries. Unit IDs may be blank or contain 3 to 15 characters, VIN Last 8 entries must contain eight characters, model years range from 2000 through 2035, and odometer and PM due mileage accept whole numbers from 0 through 2,000,000. Fuel Level accepts a decimal from 0 to 1 and uses percentage formatting.

Apply fleet-specific readiness thresholds

Assumptions on Settings determine how formulas interpret each tractor. PM Warning Miles and PM Warning Days establish the due-soon thresholds. Stale Update Days identifies records older than the selected age, while Dispatch-Ready Target supplies the percentage benchmark displayed on Dashboard.

Fuel readiness depends on Minimum Dispatch Fuel. A Dispatch Ready? result becomes Yes only when Current Status is Available, Safety Hold is No, Fuel Level meets the configured minimum, and PM Status is either OK or Due Soon. Changing the dashboard target does not change an individual tractor’s readiness result.

Identify maintenance, ETA, and data exceptions

Exception review begins with the calculated Data Check field. Its formula evaluates issues that include duplicate unit IDs, missing status, missing fuel level, missing ETA for a non-available tractor, a safety hold without a reason, missing update time, and stale records. These checks identify incomplete or inconsistent entries but cannot verify that entered facts are accurate.

Separate Attention Needed counts cover Overdue PM, PM Due Soon, Past Due ETA, No ETA, Safety Holds, Low Fuel for available tractors, Stale Updates, and Data Check Exceptions. Those totals indicate which underlying tractor records may require review before equipment assignments are made.
