How to use the file
Set the planning assumptions and directories
Begin on Settings & Lists. Review default fuel economy in MPG, diesel price per gallon in U.S. dollars, maximum preferred dwell hours, late-arrival grace hours, and planning horizon days. Maintain the lane directory with origin, destination, and miles; the carrier directory with rate per mile, dispatcher phone, and service level; and the dock list with location names and dock codes. The lane key is calculated from the selected origin and destination.
Replace samples with operating transfer details
Use the mint input cells in Transfer Schedule rows 6 through 105. Enter Transfer ID, Ship Date, Origin Dock, Destination Dock, Carrier, Trailer Number, Load Type, Pallets, Cases, Weight, planned and actual timestamps, Dock Door, Priority, and Notes. Sample records demonstrate the intended format and count toward the 100-row prepared capacity. Replace sample inputs when they are no longer needed, then use the blank prepared rows for current work.
Leave the formula columns intact: K calculates Route Miles, and P through U calculate Status, Dwell Hours, Planned Gallons, Est. Fuel Cost, Est. Linehaul, and Total Est. Cost.
Plan dock timing and record execution
Enter planned and actual timestamps for arrival and departure. If no planned arrival is entered, Status returns Needs Time. Once timing is available, the formula can return Scheduled, Due Soon, Late Arrival, At Dock, At Dock - Late, or Departed. Dwell Hours starts from actual arrival and runs to actual departure, or to the current time while the trailer remains at the dock.
Review exceptions and daily workload
Use the filter row to focus on a ship date, dock, carrier, priority, or Status. Review Late Arrival and At Dock - Late records, along with orange-highlighted issues such as an unresolved route or dwell above the preferred target. The Dashboard summarizes transfers, departures, timing exceptions, route miles, planned gallons, average dwell, on-time arrival rate, and estimated transportation cost.

Organize dock-to-dock transfer records
Each operating row combines shipment, equipment, freight, and dock information. Transfer ID and Ship Date identify the movement, while Origin Dock, Destination Dock, Carrier, and Trailer Number connect it to the operating plan. Load Type is limited to Inbound, Outbound, or Transfer. Pallets, Cases, Weight in pounds, Dock Door, Priority, and Notes give dock teams the details needed to sort and review scheduled work.
Monitor arrival, departure, and dwell exceptions
Status is calculated from the planned arrival, actual arrival, planned departure, actual departure, current time, and editable late-arrival grace period. Due Soon identifies a planned arrival within two hours. A recorded actual arrival moves the transfer to At Dock unless the planned departure has passed, while an actual departure changes it to Departed. Dwell continues to calculate until an actual departure is recorded.
Estimate route fuel and transportation cost
Route Miles comes from an exact origin-and-destination match in the lane directory. Planned Gallons divides those miles by the default MPG setting. Estimated Fuel Cost multiplies gallons by diesel price, and Estimated Linehaul multiplies miles by the selected carrier's rate per mile. Total Est. Cost adds fuel and linehaul. These figures are planning estimates rather than invoices or live carrier quotes.
Review dashboard workload and performance
The Dashboard shows Scheduled Transfers, Timing Exceptions, Departed transfers, Total Route Miles, Total Estimated Cost, Average Dwell Hours, On-Time Arrival Rate, and Planned Gallons. Its status summary counts six operating statuses. The Seven-Day Dock Plan groups transfer and pallet totals by the listed planned-arrival dates. Two charts visualize status counts and daily transfers with pallets for a quicker workload review.

The Transfer Schedule has 100 prepared rows, covering rows 6 through 105. Included sample records occupy part of that capacity, and blank prepared rows remain available for operating data. The sample rows are examples, not additional capacity beyond the 100 rows.
Transfer IDs must be unique and no longer than 20 characters. Pallets accept 0 to 60, cases 0 to 5,000, weight 0 to 50,000 pounds, and dock doors 1 to 99. Ship dates and operating timestamps are limited from 30 days before today through 365 days after today. Priority choices are Low, Normal, High, and Urgent.
Route Miles requires an exact origin-and-destination match in the lane directory. Add or correct the lane and its mileage if the result is blank. Estimated Linehaul also requires the selected carrier to match a carrier-directory entry with a rate per mile. Fuel outputs require valid route miles and planning assumptions.
If Actual Arrival is present but Actual Departure is blank, Dwell Hours measures from arrival to the current time. Entering Actual Departure changes the calculation to the elapsed time between the two recorded timestamps. The formula does not return a negative dwell value.
No. Planning horizon days documents the intended scheduling window. Date validation separately allows entries from 30 days before today through 365 days after today, so the horizon setting should not be treated as a hard schedule limit.
