A driver route qualification matrix helps dispatchers compare current driver credentials, experience, endorsements, training, and route-hour limits with planned route requirements. This file is a free Excel template that organizes those comparisons across Dashboard, Drivers, Routes, and Settings sheets.
Enter operating data on the Drivers and Routes sheets, set the evaluation date and expiration warning period, and then review calculated pairing statuses on the Dashboard. The matrix distinguishes qualified, expiring soon, not qualified, inactive, and incomplete pairings. It also summarizes active records, currently covered pairings, and route coverage gaps for the displayed planning range.

Instructions
How to use the file
Start with the assumptions and source records before relying on the Dashboard. Input cells are concentrated on Settings, Drivers, and Routes. Dashboard formulas and calculated columns should not be overwritten.
Set the qualification evaluation controls
On Settings, enter the review date in Settings!B4. Driver license and medical certificate dates are evaluated against this date. Enter 0 to 180 in Settings!B5 for Expiration Warning Days. A value of 30, for example, identifies credentials that fall within the 30-day warning window.
Settings also holds the Yes/No, license class and rank, equipment type, home terminal, and state-code lists used by workbook validations. Review those lists before entering fleet records, especially if your operation uses different terminals or equipment descriptions.
Replace the populated driver examples
Use Drivers!A5:O104 for driver inputs. Each identified driver requires an ID, name, home terminal, active status, license class and state, license and medical certificate expiration dates, years of experience, five endorsement or training indicators, and maximum route hours.
The sheet provides 100 driver record lines. Nine contain populated sample records, including DRV-101 Maria Lopez, while 91 have blank input cells prepared for operating records. Replace or clear sample information before treating the file as your working list. Drivers!P5:R104 contains calculated License Rank, Base Readiness, and Record Check outputs. Record Check flags duplicate IDs or missing required driver data.
Enter planned route requirements
Use Routes!A5:P104 for route inputs: route ID and name, origin, destination, active status, equipment type, total planned route miles, estimated route hours, required license class, minimum experience, endorsement requirements, training requirements, and optional notes.
This sheet also has 100 record lines: nine populated samples, such as RTE-201 DFW Local Distribution, and 91 blank input rows. Routes!Q5:R104 calculates Required License Rank and Record Check. Route completeness checks required fields A through O; the Notes field does not determine whether the record is missing data.
Review the driver-to-route results
On Dashboard, use the validated lists in Dashboard!B7 and E7 to select a Driver ID and Route ID. The calculated Qualification Status and Qualification Details show the result for that pairing.
The main matrix displays up to 25 drivers by 15 routes. Review the status at each intersection, the Current Coverage row, summary counts, and the pairing-status chart. Drivers and Routes can each store 100 records, but records beyond the first 25 drivers or 15 routes are not displayed in the existing matrix unless its formulas are expanded.

Compare driver credentials with route requirements
The comparison brings together related driver and route fields. License class is converted to a rank so classes C, B, and A can be compared. Driver experience can be reviewed against minimum route experience, while Hazmat, Tanker, Doubles/Triples, liftgate, and mountain indicators align with corresponding route requirements.
Estimated Route Hours and Max Route Hours provide the available time fields for the pairing review. Route Miles remains a separate planned-mile entry; there is no driver maximum-mile field in the workbook.
Identify route coverage gaps for dispatch planning
The Dashboard summarizes Active Drivers and Active Routes, then counts pairing outcomes across its 25-by-15 display. Its Coverage Status row identifies routes marked as GAP, giving dispatchers a focused list of displayed routes that need review.
Currently Covered Pairings is calculated as QUALIFIED pairings plus EXPIRING SOON pairings. Because expiring credentials still require attention, review the underlying dates and qualification details rather than relying only on the combined count.
Monitor credential dates and incomplete records
Base Readiness uses the evaluation date, warning period, driver active flag, license expiration, medical certificate expiration, and record check. It can return CURRENT, EXPIRING SOON, NOT CURRENT, INACTIVE, or INCOMPLETE.
Duplicate IDs and missing required fields are flagged separately through Record Check formulas on both operating sheets. Correct those source records first because incomplete data can prevent a meaningful pairing result.
Work within the matrix display capacity
The Drivers and Routes tables each extend from row 5 through row 104, allowing 100 source records per sheet. The current Dashboard is intentionally smaller: formulas display up to 25 drivers and 15 routes.
Active-driver and active-route summary counts reference the full 100-row source ranges, while pairing counts and coverage results reference the displayed matrix. If the source lists exceed the display limits, do not assume every stored record appears in the pairing analysis.

The calculated result uses the source record checks, active flags, driver credential readiness, license rank, experience, endorsement and training indicators, and available route-hour fields. Results are grouped as QUALIFIED, EXPIRING SOON, NOT QUALIFIED, INACTIVE, or INCOMPLETE.
The Drivers sheet compares license and medical certificate expiration dates with the Settings evaluation date and warning period. A current credential falling within that warning window produces EXPIRING SOON base readiness, which can carry into an otherwise acceptable pairing.
Yes. Drivers and Routes each provide 100 record rows, but the existing Dashboard matrix displays only the first 25 drivers and first 15 routes. Expanding the source tables alone does not expand that matrix; its formulas would also need to be extended.
The Routes sheet records total planned Route Miles, but the workbook has no corresponding driver maximum-mile field. Do not treat mileage by itself as a confirmed qualification threshold. Estimated Route Hours and driver Max Route Hours are the available paired time fields.
No. It is a planning aid based on entered data. Verify current licenses, medical certificates, endorsements, training records, route conditions, and company policies before dispatch. It does not replace accounting, legal, tax, DOT/FMCSA, safety, or compliance advice.
