The driver coaching action plan tracker is a free Excel template for organizing measurable plans, coaching sessions, follow-ups, progress, and cost records in 2026. Its four sheets connect plan details with individual coaching activities and management summaries.

Action Plans records each driver goal and calculates Progress %, Schedule Health, session counts, dates, estimated cost, actual cost, and data warnings. Coaching Log documents discussions, commitments, outcomes, and next steps. Dashboard summarizes activity by location, category, supervisor, schedule condition, and month.

Both operating tables have 500 prepared rows, from row 5 through row 504. Populated records near the top are samples. Clear or replace sample inputs before using the blank prepared rows for fleet records, while leaving calculated cells intact.

How to use the file

Set the coaching assumptions and lists

Begin on Settings. Review assumption values in B4:B7 and the supporting labels in column A. Confirmed controls include the Due Soon Window (Days) in B4, Default Coaching Session Cost in B5, and Reporting Year in B6. Maintain locations, supervisors, categories, priorities, statuses, metric units, methods, outcomes, and coaches in columns D:N. These entries supply the workbook's validated lists.

Enter a measurable driver action plan

On Action Plans, user-entry cells run from A:T. Assign a unique Plan ID, then enter the Driver ID, Driver Name, Location, Supervisor, Coaching Category, event summary, dates, priority, status, owner, metric details, planned sessions, and completion date when applicable.

For measurable progress, complete Desired Direction plus Baseline Value, Target Value, and Current Value. Columns U:AA are calculated and should not be overwritten. They return progress, schedule condition, sessions logged, last coaching date, estimated cost, actual cost, and a data check.

Record each coaching discussion and follow-up

In Coaching Log, enter data in A:B and F:Q. Give each record a unique Session ID and select the related Plan ID. Driver ID, Driver Name, and Location in C:E are retrieved from Action Plans. Record the coaching date, coach, method, discussion focus, driver commitment, follow-up due date, outcome, duration, session cost, and notes.

Update Follow-Up Completed and its completion date manually. Column R calculates the session Data Check.

Review summaries without changing formulas

Dashboard cell B3 is the validated Location Filter; choose All or a listed location. The report date in E3 uses the current date. Review active plans, past-due and due-soon counts, average progress, overdue follow-ups, monthly completions and sessions, reporting-year cost, and the Data Check issue total. Correct source records on Action Plans or Coaching Log rather than editing dashboard outputs.

Create goals that show measurable driver progress

Action Plans supports both Lower Is Better and Higher Is Better goals. A lower-is-better plan can use a metric such as events per 1,000 miles, while a higher-is-better plan can use miles per gallon. The progress formula compares baseline, target, and current values according to the selected direction and limits the result from 0% to 100%.

Update Current Value and Last Metric Update as operating results become available. Progress remains blank when the required direction or values are missing.

Manage plan deadlines and coaching follow-ups

Schedule Health considers the plan status, due date, current date, and the due-soon window in Settings. Possible calculated results include Completed, Canceled, On Hold, Missing Due Date, Past Due, Due Soon, and On Track.

Coaching follow-ups are separate from plan deadlines. The Dashboard counts an overdue follow-up when Follow-Up Completed is No, a follow-up due date is present, and that date is earlier than today.

Compare workload by location, category, and supervisor

The location selection changes location-sensitive dashboard summaries. Category rows show active plans for listed subjects such as Speed Management, Following Distance, Fuel-Efficient Driving, Pre-Trip Inspection, and other configured categories.

The supervisor area reports active plans, past-due plans, and average progress. These views help dispatch or fleet leaders identify where open coaching work is concentrated without changing source records.

Monitor coaching costs and record quality

Estimated plan cost equals Planned Sessions multiplied by the default session cost from Settings. Actual plan cost sums Session Cost entries connected to that Plan ID. The Dashboard also totals session costs within the selected Reporting Year.

Data checks flag issues such as missing or duplicate IDs, unknown Plan IDs, missing required dates, a due date before a start date, or a follow-up due before its session. These checks support record review but do not replace accounting, legal, tax, DOT/FMCSA, safety, or compliance advice.
