This dispatch shift handoff log template is a free Excel template for documenting issues that must carry from one dispatch shift to the next in 2026. It organizes ownership, timing, service impact, current status, and the next required action without relying on a live dispatch feed.
Three sheets separate the work: Handoff Log for source records, Dashboard for formula summaries and ranked attention, and Settings for thresholds and dropdown lists. The data table spans rows 6 through 1005. Populated examples near the top illustrate a breakdown, delivery delay, and customer request; blank prepared rows below are available for operating records. How to use the file
Step 1: Review timing rules and dropdown sources
Start on Settings. The default Due Soon Window is 4 hours, the Stale Update Threshold is 6 hours, and the recent closure window is 24 hours. These three cells accept whole numbers from 1 through 168. Review the listed shifts, priorities, categories, service impacts, statuses, and assignees before entering operating records. Keep formula-referenced terms such as Critical, High, Closed, and Canceled unchanged unless the related formulas are also reviewed.
Step 2: Enter a new handoff in a blank prepared row
Go to the first blank operating row on Handoff Log rather than treating the populated samples as current work. Use the pale-yellow input columns A through S. Assign a unique Handoff ID, enter the handoff date, select the outgoing and incoming shifts, and record the Logged At time. Dropdown validation is provided for shifts, priority, category, service impact, assignee, and status. Date validation applies to the handoff, logged, follow-up, resolved, and last-updated fields.
Step 3: Define the issue, owner, and required follow-up
Complete Unit / Load / Route, Driver / Contact, Current Location, Issue at Handoff, and Next Action with enough detail for the incoming dispatcher to continue the work. Select Assigned To and enter a Follow-Up Due date and time when the issue has a deadline. Set Status to the option that reflects the current condition, then enter Last Updated whenever material information changes.
Step 4: Close records and check calculated results
When closing an item, enter Resolved At and a Resolution / Final Note as directed on the sheet. Do not overwrite the pale-blue calculated columns T through X. They return Open Age, Due Flag, Update Check, Record Check, and Attention Rank. After Excel recalculates, review the Dashboard for open counts, timing exceptions, record issues, and ranked work requiring attention.

Create a complete dispatch shift handoff record
Each Handoff Log row represents one operational issue. The fields support common dispatch handoff details without restricting the record to a specific type of operation. A row can identify a unit, load, or route; the driver or other contact; the current location; the issue being transferred; and the next action expected from the incoming shift.
Priority options are Critical, High, Medium, and Low. The available categories include Breakdown / Maintenance, Delivery Delay, Pickup Issue, Driver Availability, and Customer Request, with additional category positions on Settings. Service impact and status fields provide separate views of operational effect and workflow stage.
Prioritize open dispatch work on the Dashboard
The Dashboard summarizes Open Items, Critical Open, Overdue Open, Due Soon, Average Open Age, Unassigned Open, Update Issues, Record Issues, recently closed records, and open records without a due time. It also breaks out open work by priority and all records by status.
The Priority Action Queue displays up to 80 ranked positions with Handoff ID, Priority, Due Flag, Unit / Load / Route, Next Action, Assigned To, Follow-Up Due, and Status. Open records are ordered with overdue items first, followed by critical, due-soon, high-priority, and remaining open items. A single chart compares open Critical, High, Medium, and Low counts.
Control due-soon and stale-update timing
Time-sensitive outputs use the current Excel time and the thresholds stored on Settings. An open item becomes Overdue after its Follow-Up Due time passes. It becomes Due Soon when the deadline falls within the configured window; otherwise, it is On Track. An open row without a deadline returns No Due Time.
Update Check returns Missing Update when Last Updated is blank and Stale when the elapsed time exceeds the configured threshold. Open Age runs from Logged At to the current calculation time. For a closed or canceled row with a Resolved At value, age ends at that resolution time.
Understand the handoff log’s operating limits
The Workbook As Of value and other time-based formulas change when Excel calculates the file. The workbook does not use a live dispatch feed, so dispatchers must enter and maintain source records on Handoff Log. Formula outputs depend on complete, accurate dates, statuses, ownership, and notes.
Use the file as an internal operational handoff worksheet and verify important facts against the appropriate source records and contacts. It does not replace accounting, legal, tax, DOT/FMCSA, safety, or compliance advice.

About this workbook
The structured table runs from A5 through X1005, providing 1,000 prepared data rows from row 6 through row 1005. Populated examples occupy rows near the top, so those examples count toward the prepared range. Blank rows below them are available for operating entries, and the calculated fields are already present through row 1005.
Handoff IDs are tested for uniqueness across A6:A1005. Dropdowns cover outgoing shift, incoming shift, priority, category, service impact, assignee, and status. Handoff Date, Logged At, Follow-Up Due, Resolved At, and Last Updated accept dates from January 1, 2020, through December 31, 2100.
Due Flag returns No Due Time, and the Dashboard includes the row in Open With No Due Time. The item can still appear in the action queue based on its priority or as remaining open work, but it cannot be classified as overdue or due soon until Follow-Up Due is entered.
Closed and Canceled records are excluded from open-item counts and the ranked action queue. Their Due Flag and Update Check return Closed. When a Resolved At time is available, Open Age stops at that time instead of continuing to the current Excel calculation time. The recent-closure Dashboard count applies to records with the Closed status.
The three hour-based assumptions on Settings can be changed within their validated 1-to-168 range. Dropdowns reference fixed source areas for shifts, priorities, categories, service impacts, statuses, and assignees. For example, the assignee source occupies J4:J9, so entries outside that range are not part of the existing assignee validation list.
No live dispatch feed is included. Dashboard formulas read the Handoff Log and recalculate when Excel calculates the workbook. Update Handoff Log fields such as Status, Assigned To, Follow-Up Due, Resolved At, and Last Updated to keep the displayed summaries aligned with current operations.
