A driver availability spreadsheet helps dispatchers and fleet managers organize who can work, when each driver is available, and how many scheduled hours are open. This free Excel template connects a driver directory with dated availability records, planning settings, and a coverage dashboard.
The file contains Dashboard, Availability, Drivers, and Settings sheets. It supports daily planning by status, shift, home base, preferred area or route, and vehicle type. Calculated fields identify the driver, home base, available hours, and record condition without turning the file into a dispatch, payroll, or compliance system.

Instructions
How to use the file
1. Replace the fictional driver directory samples
Start on Drivers. Rows 5 through 12 contain eight fictional sample drivers, including sample names and phone numbers. Replace those entries with your own records. Rows 13 through 1000 are blank directory rows available for operations.
Maintain one unique Driver ID for each person. Enter Driver Name, Phone, Home Base, Driver Type, License Class, Endorsements, Maximum Travel Radius in miles, Daily Planning Limit in hours, Active status, and Notes. Validations support unique IDs, listed home bases and classifications, travel radii from 0 to 1,000 miles, planning limits from 1 to 24 hours, and Yes or No active status. The daily limit is an internal scheduling assumption rather than a legal driving limit.
2. Define the dashboard planning scope
On Settings, enter the Dashboard Start Date in B4 and choose All Bases or a listed home base in B5. Set the coverage warning threshold in B6 from 1 to 100 drivers. In B7, choose a planning window from 1 to 14 days.
The lists in columns E through L supply choices for availability status, shift, home base, dashboard home base, driver type, license class, vehicle type, and Yes or No fields.
3. Enter one availability record per driver and date
Availability rows 5 through 14 contain ten populated sample records. Rows 15 through 1000 provide 986 prepared operating rows with formulas already present. Enter data in the yellow cells: Availability ID, Date, Driver ID, Status, Shift, Available Start, Available End, Break Minutes, Preferred Area or Route, Vehicle Type, and Notes.
Availability IDs must be unique, dates must fall from January 1, 2020 through December 31, 2035, and break minutes must be from 0 through 180. Status and shift selections come from Settings. Leave start and end times blank when a driver is Unavailable or On Leave.
4. Review formulas before using the coverage totals
Do not replace the formulas in the blue cells. Day, Driver Name, Available Hours, Home Base, and Record Check are calculated from the entered date, driver, status, and time details. The Record Check field returns OK for records accepted by dashboard calculations or identifies a problem requiring review.
Dashboard outputs are calculated from Settings, Drivers, and valid Availability records. Review its summary metrics, daily coverage table, planning-window checks, and available-hours chart rather than typing over those outputs.

Calculate Driver Availability Hours from Time Windows
For Available or Limited records, Available Hours uses the entered start and end times and subtracts break minutes. The formula prevents a negative result and uses a time calculation that can handle an end time after midnight. Unavailable and On Leave records return zero available hours.
These hours are planning outputs. They are included in Dashboard totals only when the record check is OK and the date falls within the selected planning window.
Monitor Daily Driver Coverage by Home Base
Dashboard can summarize All Bases or one selected home base. Its daily table reports Available drivers, Limited drivers, Unavailable or On Leave drivers, and total available hours for each displayed date.
The Coverage Status formula returns No Coverage when there are no Available or Limited drivers. It returns Low Coverage when that combined count is below the threshold in Settings and Covered when the threshold is met.
Check Availability Data Before Dispatch Planning
The planning-window checks count duplicate Availability IDs, duplicate driver-and-date records, missing required details, invalid or inactive drivers, and time or planning-limit issues. The Dashboard also shows Records Needing Attention for all bases, even when the main coverage metrics are filtered to one base.
Correct the source entry on Availability or Drivers and then confirm that its calculated record check returns OK.
Keep Driver Qualifications and Operating Preferences Together
The Drivers sheet stores license class, endorsements, maximum travel radius, driver type, home base, active status, and notes. Availability adds the preferred area or route, vehicle type, shift, and dated time window.
This structure lets a planner compare availability with recorded driver details. It does not make a driver assignment, confirm qualification for a specific load, or track vehicle availability.

Availability provides 996 record rows from row 5 through row 1000. Ten are populated samples in rows 5 through 14, leaving 986 prepared operating rows. Drivers also provides 996 directory rows: eight sample rows and 988 blank rows.
The record may be outside the selected start date and planning window, assigned to a different home base, marked Unavailable or On Leave, or showing something other than OK in Record Check. Available driver-day totals include valid Available and Limited records.
Yes. The formula uses the difference between end and start times in a way that accommodates a time window crossing midnight. It then subtracts break minutes and prevents the calculated hours from falling below zero.
Not in every case. Settings permits a planning window of up to 14 days, but the single chart references Dashboard rows 14 through 20, representing up to seven dated available-hours points. The daily table can display the longer configured window.
No. Daily Planning Limit is an internal scheduling assumption, and the file does not verify legal driving limits or duty status. It does not replace accounting, legal, tax, DOT or FMCSA, safety, or compliance advice.
