This scheduled route roster spreadsheet is a free Excel template for planning dated route work in 2026. It gives dispatchers, fleet managers, delivery teams, and small carriers one place to organize route schedules, driver and vehicle assignments, status, and dispatch notes.

The file contains Dashboard, Route Roster, Resources, and Settings sheets. On the roster, blue cells are user inputs, gray cells are calculated outputs, and red or orange indicators identify rows requiring review. The roster table covers rows 7 through 506. The manifest confirms populated sample records, including rows 7 and 8, while the prepared table also provides blank operating rows for new schedules.

How to use the file

Set the planning assumptions

Begin on Settings by reviewing cells B4:B6. Enter the current Fuel Price per Gallon in B4, Maintenance Cost per Mile in B5, and Maximum Planned Shift Hours in B6. These values are validated as numeric inputs. Fuel price and maintenance allowance contribute to estimated route cost, while the shift-hour setting is used to flag a long planned shift.

Maintain route and resource records

Next, replace sample information on Resources with operating data. Route records occupy A4:H103 and include ID, name, origin, destination, default times, scheduled miles, and planned stops. Driver records in J4:O103 contain ID, name, phone, home base, hourly rate, and active status. Vehicle records in Q4:X103 contain ID, description, type, plate, state, MPG, home base, and availability. Each route, driver, and vehicle ID must be unique. These Resources IDs supply roster lists and calculated lookups.

Enter each scheduled route

On Route Roster, enter operating information only in the blue input fields: Roster ID, Service Date, Route ID, Scheduled Start, Scheduled End, Driver ID, Vehicle ID, Status, and Dispatch Notes. The status list contains Planned, Confirmed, In Progress, Completed, and Canceled. Roster IDs are checked for uniqueness, dates must fall from 2020 through 2035, times must be valid times of day, and notes are limited to 250 characters.

Do not type over the calculated columns. Excel returns Day, route details, estimated hours, driver name, vehicle description, scheduled miles, planned stops, estimated gallons, estimated route cost, four review checks, and combined start and end date/time values. When clearing sample records, clear their input cells rather than their gray formula cells.

Review the selected reporting period

On Dashboard, enter the report start date in B5 and report end date in E5. The end date cannot precede the start date. Review the calculated totals, status counts, daily summary, driver workload, and route-status chart. Use the Assignment Check result and Rows to Review total to find schedules that need attention before relying on the summary.

Build a Daily Route Schedule in Excel

Each roster row represents one scheduled route record. Dispatchers enter a unique roster ID, service date, route, scheduled start and end times, assigned driver, assigned vehicle, operating status, and optional notes. Route ID selection returns the corresponding route name, origin, destination, scheduled miles, and planned stops from Resources.

Driver and vehicle selections work the same way: the entered IDs return the driver name and vehicle description. This structure keeps scheduled assignments connected to the reference records without requiring names, mileage, or unit descriptions to be retyped on every row.

Check Driver, Vehicle, and Schedule Assignments

Four calculated columns evaluate Driver Check, Vehicle Check, Schedule Check, and Assignment Check. Blank required assignments can produce an Unassigned result, unmatched IDs can produce Unknown Driver or Unknown Vehicle, and canceled rows return Not Required. Assignment Check displays OK only when the three underlying checks are OK; otherwise, it displays Review.

These results help focus a dispatcher’s attention, but they should still be compared with current operating information. Correct an ID or schedule in its input column rather than replacing a calculated check result.

Estimate Route Hours, Gallons, and Cost

Scheduled start and end times are combined with the service date to calculate start and end date/time values. Estimated Hours is derived from that interval. Scheduled miles and planned stops come from the selected route, while Estimated Gallons divides scheduled miles by the assigned vehicle’s MPG.

Estimated Route Cost combines gallons multiplied by the fuel price, scheduled miles multiplied by the maintenance allowance, and estimated hours multiplied by the driver’s hourly rate. Values are expressed in U.S. dollars, miles, gallons, and hours. They are planning estimates rather than recorded expenses.

Monitor Route Status and Driver Workload

Set a reporting period to calculate Scheduled Routes, Confirmed Routes, Rows to Review, Scheduled Miles, Estimated Hours, Estimated Route Cost, and Ready Assignment %. A status table counts Planned, Confirmed, In Progress, Completed, and Canceled routes, and the workbook’s single chart uses those status counts.

A separate daily table covers the first seven days within the selected period, showing route count, scheduled miles, estimated hours, and review rows. Driver workload figures list driver ID, driver name, route count, and estimated hours for the same selected dates.
