This trailer availability spreadsheet is a free Excel template for fleet managers, dispatchers, small carriers, service fleets, and delivery teams that need a shared view of trailer readiness. It combines trailer details, operational condition, reservations, dispatched loads, return dates, preventive maintenance timing, and data checks to calculate each trailer’s availability status.

The file contains Dashboard, Trailer Availability, Booking Schedule, and Settings sheets. The two operating tables each provide 500 prepared data rows, spanning rows 6 through 505. Early rows contain sample trailer and booking records that demonstrate the intended structure. The remaining unfilled input rows are available for operating records, while calculated formulas are already present through row 505. This is a manually maintained planning workbook rather than a connection to dispatch or telematics systems.

Instructions

How to use the file

1. Set the reporting date and planning windows

Begin on Settings. Enter the As of Date in B4. This date controls dashboard and availability calculations; it does not update from a live system. Set the Reservation Look-Ahead in B5, Upcoming Return Window in B6, and PM Due Soon Window in B7. B5 and B6 accept whole numbers from 1 to 90, while B7 accepts 1 to 180.

Review the existing lists in D4:G8. These cells contain five trailer types, three operational statuses, four booking statuses, and five home terminals used by the workbook’s dropdowns.

2. Replace the sample trailer records

On Trailer Availability, the yellow input cells are A6:L505. Enter Trailer ID, Plate Number, License State, Trailer Type, Length in feet, Home Terminal, Current Location, Operational Status, Estimated Ready Date, Next PM Due, Last Updated, and Notes. The first rows show sample records such as TR-101 and TR-102; overwrite or clear sample inputs before relying on the results.

Use a unique Trailer ID for each unit. Trailer length accepts 20 to 60 feet, license states are checked for two uppercase characters, and date inputs accept dates from 2020 through 2035.

3. Record reservations, loads, and returns

Enter booking information in A6:L505 on Booking Schedule. Available fields are Booking ID, Trailer ID, Customer or Load, Pickup Date, Planned Return Date, Actual Return Date, Origin, Destination, Planned Miles, Dispatcher, Booking Status, and Notes. Trailer ID and Booking Status use lists tied to the trailer table and Settings.

Planned Miles accepts whole numbers from 0 to 5,000. When a dispatched trailer returns, enter the Actual Return Date and change Booking Status to Completed. Column M is the calculated Schedule Check; do not replace its formulas with manual notes.

4. Review calculated columns and dashboard exceptions

The blue calculated columns on Trailer Availability are M6:R505: Availability Status, Expected Ready Date, Days Until Ready, Next Reservation Date, PM Status, and Data Check. Booking Schedule calculates Schedule Check in M6:M505.

Use the Dashboard to review total trailers, Available, In Use, Reserved Soon, Maintenance, Out of Service, Overdue Return, and Return Date Missing counts. Planning checks also report upcoming returns, PM exceptions, schedule overlaps, other schedule errors, and trailer data issues.

Match trailer availability to reservations and active loads

Availability is not based only on the manually entered Operational Status. For trailers marked Ready, formulas also evaluate reserved and dispatched booking records against the Settings date and look-ahead window. This supports calculated results including Available, In Use, Reserved Soon, Overdue Return, and Return Date Missing.

Expected Ready Date and Days Until Ready help dispatchers compare when assigned equipment may return. Next Reservation Date shows the next qualifying reserved booking, allowing the current availability result to be reviewed alongside a future commitment.

Review preventive maintenance timing and trailer data quality

Next PM Due is a user-entered trailer field. PM Status compares that date with the As of Date and PM Due Soon Window, returning Missing PM Date, Past Due, Due Soon, or OK. These are planning labels; the workbook does not create maintenance work orders or document completed service.

Data Check identifies duplicate Trailer IDs and missing home terminal, location, operational status, estimated ready date where required, or last-update information. Conditional formatting highlights exceptions for review.

Plan equipment by home terminal from the dashboard

The dashboard includes availability rows for Dallas, Houston, Atlanta, Chicago, and Los Angeles, plus a total row. Each terminal summary calculates Total, Available, In Use, Reserved Soon, and Unavailable or Exception counts from the trailer table.

Available Percentage divides the available count by total trailers. The Status Reconciliation result compares total trailers with the listed status categories and is labeled to equal zero. A nonzero result indicates that the displayed status categories do not fully reconcile to the trailer total.

Work within the spreadsheet’s manual operating scope

Both operating sheets have 500 prepared rows, from row 6 through row 505. Formulas continue through the blank operating rows, so a calculated cell can remain visually empty until its row receives an identifying input. Sample records in the early rows are demonstrations, not additional blank capacity.

Results depend on users keeping trailer locations, operational statuses, bookings, planned returns, actual returns, and dates current. The workbook does not connect to telematics, dispatch platforms, accounting systems, or other integrations. It does not replace accounting, legal, tax, DOT or FMCSA, safety, or compliance advice.
