This tire position and tread depth tracker is a free Excel template for recording tire locations, three-point tread measurements, pressure readings, and inspection history. It connects four sheets: Dashboard, Tire Inspections, Tire Inventory, and Settings.

Sample data shows how tire IDs, vehicles, positions, and inspections work together. Replace those examples with your records, then use the prepared rows through row 1004. Cells marked light blue are for user entry, while light gray cells contain calculated results. Current-condition summaries use the latest inspection records whose Row Check result is OK.

In practice

What this workbook helps you do

  • ✓
Maintain a separate inspection history for each tire and wheel position.
  • ✓
Compare outer, center, and inner tread readings in 32nds of an inch.
  • ✓
Bring the latest valid inspection details into the tire inventory by Tire ID.
  • ✓
Review mounted-tire counts, condition exceptions, and inspection timing from one dashboard.

Instructions

How to use the file

1. Review thresholds and operating lists

Start on Settings. Review the Low Tread Alert, Critical Tread, Uneven Wear Threshold, Pressure Tolerance, and Inspection Interval Days values. The supplied planning values include 5/32 for low tread, 3/32 for critical tread, a 3/32 wear-spread threshold, and a 5 PSI tolerance. Adjust blue cells for your fleet policy, tire specifications, vehicles, and operating conditions. You can also maintain the position-to-group mapping, vehicle list, tire statuses, visual conditions, and actions. A calculated settings check returns either OK or Review settings.

2. Replace the sample tire inventory

On Tire Inventory, use columns A through K for Tire ID, brand, model, tire size, DOT date code, purchase date, purchase cost, original tread, target PSI, status, and notes. Keep one unique Tire ID per row. Validations check duplicate IDs, WWYY date-code structure, dates, dollar amounts, tread depth, target PSI, and listed statuses. Rows 5 through 1004 are prepared for records; replace the populated examples and use the available blank rows.

3. Enter one inspection row per tire position

Use columns A through O on Tire Inspections for the inspection ID and date, vehicle, odometer in miles, tire ID, position, inspector, location, outer-center-inner tread readings, measured PSI, visual condition, action taken, and notes. Tire, vehicle, position, condition, and action fields use workbook lists. Tread entries accept 0 to 32, measured pressure accepts 0 to 150 PSI, and the odometer accepts 0 to 2,000,000 miles.

Do not replace formulas in columns P through Y. They calculate position group, average tread, minimum tread, wear spread, target PSI, pressure variance, tread status, wear status, pressure status, and Row Check.

4. Review current condition and priorities

Calculated columns L through AC in Tire Inventory retrieve each tire’s latest valid inspection and show its current vehicle, position, odometer, minimum tread, wear spread, measured PSI, usable tread remaining, condition statuses, next inspection date, overall status, recommended action, and attention priority.

The Dashboard summarizes mounted tires, critical tread, tires requiring action, overdue inspections, pressure exceptions, and inspection data issues. It also provides position-group and vehicle summaries plus two charts based on mounted-tire status and average minimum tread by position group.

Included features

+Prepared Tire Inspections and Tire Inventory ranges each cover 1,000 data rows, from row 5 through row 1004.
+Inspection formulas calculate average, minimum, and spread from outer, center, and inner tread measurements.
+Filters and frozen panes are included on the two operating tables for reviewing longer record lists.
+Conditional formatting uses red, amber, and green cues for critical, attention, and acceptable results.

Track tire position changes by vehicle and inspection date

Each inspection associates a Tire ID with a Vehicle/Unit and a specific position, such as Left Front or Right Rear Outer. The position mapping on Settings assigns those detailed locations to Steer, Drive, Trailer, or Other groups.

When a tire moves, record the new vehicle and position on a new inspection row rather than rewriting prior inspection history. Tire Inventory then displays the vehicle and position from the latest valid inspection, while earlier rows remain available in Tire Inspections.

Evaluate tread depth across three measurement points

Outer, center, and inner readings are entered in 32nds of an inch. Formulas calculate the average, the lowest of the three readings, and the difference between the highest and lowest readings. The minimum reading drives tread status, while the spread is compared with the uneven-wear threshold.

If all three readings are not present, the calculated tread measurements remain blank and related results can show No Data. This keeps an incomplete measurement from being treated as a complete condition record.

Identify pressure, wear, and inspection exceptions

Measured PSI is compared with the target PSI stored for the matching Tire ID. A result outside the configured tolerance is labeled Low or High. The inventory’s overall status also considers low or critical tread, uneven wear, pressure status, and whether an inspection is current, due soon, or overdue.

Recommended Action and Attention Priority provide a calculated review order for mounted tires. These results are planning outputs and should be considered alongside physical inspection and fleet procedures.

Keep invalid inspection rows out of current summaries

The Row Check formula reviews required inputs and can identify missing required information, duplicate inspection IDs, unknown tire IDs, and tread readings outside the permitted range. Only rows returning OK are used to determine a tire’s latest current condition.

The Dashboard separately counts entered inspection rows whose Row Check is not OK. Correcting those records allows later inventory and dashboard calculations to use them when they otherwise meet the workbook’s latest-record logic.
