A pickup and delivery appointment schedule helps dispatchers organize stop windows, assignments, arrival times, and departure times in one operating view. This free Excel template includes separate Dashboard, Appointments, and Settings sheets with 100 prepared appointment rows.
Enter stop details and actual timestamps on the Appointments sheet, then review calculated alerts, on-time results, dwell, and estimated detention charges. The Dashboard summarizes current activity according to the manually maintained Dashboard As Of value. Because appointment times are not converted automatically, every timestamp must use the selected Schedule Time Zone.

How to use the file
1. Set the schedule reference time
Start on Settings and manually update Dashboard As Of in B3 before reviewing current alerts. Select the operating time zone in B4. Times are compared as entered; the file does not perform automatic time-zone conversion. B5 controls the Due Soon horizon in hours, while B6 sets the on-time tolerance in minutes. Other yellow assumption cells support detention and Dashboard lookahead calculations. Cell B13 reports whether the settings are OK or need review.
2. Maintain the operating lists
The Settings sheet holds lists for Status, Stop Type, Priority, Time Zone, State, Driver, Unit, and Trailer. Maintain these entries when operating choices change. They supply validated selections on the Appointments sheet, helping users apply consistent labels without an external integration.
3. Enter appointment and stop details
On Appointments, use the yellow input cells in columns A through U. The prepared operating range runs from rows 5 through 104, providing 100 appointment rows. Rows 5 and 6 shown in the manifest contain sample records. Replace or clear sample content as appropriate, and use available blank prepared rows for operating entries.
Enter Appointment ID, Load or Route ID, Stop Type, Status, Priority, customer, facility, city, state, appointment date, window start and end, schedule time zone, driver, unit, trailer, leg miles, reference or PO, actual arrival, actual departure, and notes. Required-field checks cover Appointment ID, Load or Route ID, Stop Type, Status, customer, facility, city, state, appointment date, both window times, and schedule time zone. Appointment IDs are also checked for uniqueness.
4. Preserve formulas and review results
Columns V through AE are blue calculated cells and should not be overwritten. They calculate Scheduled Start, Scheduled End, Schedule Alert, On-Time Result, Minutes After Window, Dwell Minutes, Billable Detention Hours, estimated detention charge, Data Check, and Dashboard Sort Key. After adding or updating records, review the Dashboard totals and earliest-first active schedule.

Build a Dispatch Appointment Schedule
Each appointment can be associated with a load or route, customer, facility, city, state, driver, unit, trailer, and reference or PO. Stop Type separates pickups from deliveries, while Status and Priority describe the operating condition of each record. Appointment Date, Window Start, and Window End establish the planned service window.
Leg Miles accepts whole numbers from 0 through 3,000 and supports Dashboard mileage totals. Validated lists are available for stop type, status, priority, state, schedule time zone, driver, unit, and trailer. Appointment dates are limited to January 1, 2020, through December 31, 2100, and window entries accept times from midnight through 11:59:59 p.m.
Monitor Late, Due Soon, and At-Stop Activity
The calculated Schedule Alert compares each appointment with the Settings reference time. Depending on its timing, status, and actual timestamps, a record can display Upcoming, Due Soon, Late, At Stop, Completed, Canceled, or Missing Schedule.
Due Soon uses the configured hour horizon. Late is based on the scheduled start, reference time, and tolerance. Entering an actual arrival moves an unfinished stop to At Stop. A Completed status or an entered actual departure produces a Completed alert. These results depend on the manually updated As Of value rather than a live clock.
Measure Arrival Performance and Detention
Enter Actual Arrival and Actual Departure as full date-and-time values. On-Time Result classifies a recorded arrival as Early, On Time, or Late by comparing it with the scheduled window and configured tolerance. Minutes After Window records positive minutes beyond the scheduled end.
Dwell Minutes runs from arrival to departure. If departure is blank, the formula uses Dashboard As Of. The detention calculation subtracts the configured allowance, rounds the remaining time according to the stored increment, and multiplies billable hours by the rate in Settings. The resulting Est. Detention Charge is formatted in U.S. dollars.
Review the Appointment Operations Dashboard
Dashboard totals include Active Appointments, Pickups Today, Deliveries Today, Late or Not Arrived, Due Soon, At Stop, Completed Today, and Data Exceptions. It also reports Planned Miles in Lookahead, Miles Today, Estimated Detention Charges, and Arrival On-Time Percentage.
The active schedule shows Appointment ID, stop type, scheduled start, facility, city and state, driver, status, and schedule alert. Eligible open appointments are presented earliest first within the configured lookahead. The display contains 89 prepared formula rows.
A separate seven-day outlook lists daily pickups, deliveries, total stops, and planned miles. The Dashboard also contains one chart comparing pickup and delivery counts across those seven dates.

No. Settings states that times are compared without automatic time-zone conversion. Enter appointment windows, actual arrivals, actual departures, and Dashboard As Of in the selected schedule time zone. A row with a different schedule time-zone entry can be flagged by the calculated data check.
If Window End is earlier than Window Start, the Scheduled End formula adds one day. A window beginning late in the evening and ending after midnight is therefore treated as crossing into the following date.
The calculated Data Check can identify a duplicate Appointment ID, a missing required field, a schedule time zone that differs from Settings, or a departure entered without an arrival. Dashboard counts populated appointment records whose data-check result is not OK.
The Dashboard sort key excludes blank records and appointments marked Completed or Canceled. It includes eligible appointments whose scheduled start falls within the configured lookahead period, then supports the earliest-first display.
No. The charge is an internal estimate based on recorded dwell and the assumptions stored in Settings. Confirm contracts, supporting records, allowances, rates, and billing rules separately. This workbook does not replace accounting, legal, tax, DOT/FMCSA, safety, or compliance advice.
