This fleet parts inventory spreadsheet is a free Excel template for organizing parts records, stock movements, and reorder needs in 2026. It gives fleet managers, service departments, delivery fleets, and owner-operators a structured way to record parts by ID, location, vehicle compatibility, vendor, cost, and stock threshold.
The file contains Dashboard, Parts Inventory, Transactions, and Settings sheets. Parts and transaction entries feed calculated quantities, inventory values, reorder recommendations, and data checks. The populated records are samples that demonstrate the layout. Rows 6 through 505 on both data sheets provide 500 prepared rows, including the samples and the available blank operating rows.

Instructions
How to use the file
Review inventory rules and lists
Start on Settings. The current currency is USD, the reorder cost buffer is 5%, the maximum lead time is 365 days, and the low-stock rule is Qty On Hand less than or equal to Reorder Point. Review the status, category, unit, and transaction type lists because they supply the data-validation choices used on the two operating sheets.
Enter each part in the prepared inventory rows
On Parts Inventory, use rows 6 through 505. Replace the sample records before relying on totals, then use the remaining blank prepared rows for operations. Enter data in columns A through O: Part ID, Status, Part Name, Category, Unit of Measure, Manufacturer, Part Number, Compatible Vehicles, Storage Location, Preferred Vendor, Lead Time, Unit Cost, Opening Quantity, Reorder Point, and Target Stock. Part IDs must be unique, and Target Stock must be blank or at least as large as the Reorder Point.
Do not overwrite columns P through W. These blue-gray cells calculate Qty On Hand, Inventory Value, Reorder Status, Suggested Order Qty, Suggested Order Cost, Last Activity Date, Alert Rank, and Data Check.
Record receipts, issues, returns, and adjustments
Use Transactions rows 6 through 505 for user entries in columns A through F and H through K. Record the date, unique transaction ID, part ID, transaction type, positive quantity, optional entered unit cost, vehicle or work order reference, odometer in miles, vendor or source, and notes. If Entered Unit Cost is blank, Applied Unit Cost looks up the current unit cost from Parts Inventory.
The formulas assign Signed Quantity based on transaction type. Receipts, returns to stock, and adjustment increases add inventory. Issues and adjustment decreases subtract it. Inventory Value Change multiplies the signed quantity by the applied unit cost.
Check calculated totals before using the results
Return to Dashboard after entering or changing records. Review active SKUs, total quantity, inventory value, reorder items, out-of-stock parts, suggested reorder spend, and the budget including the configured buffer. The data-check message reports whether parts or transaction issues need attention. The reorder detail identifies the affected part, status, location, quantity on hand, suggested order quantity, and estimated cost.
Inside the file
Included features
Organize fleet parts by location, vendor, and vehicle fit
The Parts Inventory sheet works as the main parts catalog. Each record can identify a manufacturer and part number, compatible vehicles, storage location, preferred vendor, and lead time. This helps a shop distinguish similar filters, brake components, fluids, and other stocked items without relying only on a description.
Status choices separate active and inactive parts. Category and unit lists standardize entries, while the table filter can narrow the list by fields such as category, vendor, location, or reorder condition.
Track parts receipts and service-related issues
Every stock movement is entered as a separate transaction tied to a Part ID. The Vehicle / Work Order / PO field can connect an issue to a unit, repair order, or purchase order reference. Odometer, vendor or source, and notes provide additional operating context.
Quantity on hand equals Opening Quantity plus the sum of signed transactions for that part. This means staff should record movements consistently rather than directly changing the calculated balance.
Plan reorder quantities and estimated parts spending
An active part receives a Reorder Status when quantity on hand is at or below its reorder point. A zero or negative balance is marked Out of Stock. Inactive records are marked Inactive and do not receive a suggested order quantity.
For a low-stock active item, Suggested Order Qty is the amount needed to reach Target Stock. Suggested Order Cost multiplies that quantity by the current Unit Cost. Dashboard budgeting adds the Settings buffer to total suggested reorder spend.
Review category value and inventory data issues
Dashboard category rows summarize active SKU count, quantity on hand, inventory value, and reorder items. The included chart plots inventory value by category using the ten category positions provided in Settings.
Data Check columns flag problems such as missing or duplicate IDs, unknown part references, invalid list entries, and missing required information. Dashboard counters separate parts-data issues from transaction errors so users can correct records before relying on totals.
Common questions
About this workbook
Yes, replace or clear the sample inputs before using the totals for your operation. Clear only Parts Inventory columns A through O and Transactions columns A through F and H through K. Preserve the calculated formula columns. Remove related sample transactions when removing sample parts so they do not create unknown Part ID errors.
No. Enter quantities as positive numbers. Transaction Type controls the sign: Receipt, Return to Stock, and Adjustment Increase add stock, while Issue and Adjustment Decrease subtract stock.
Parts Inventory and Transactions each provide 500 prepared rows from row 6 through row 505. These totals include the populated sample lines and the blank operating rows. Formula coverage beyond row 505 is not included in the manifest.
No. Inventory Value is current Unit Cost multiplied by Qty On Hand. Transaction value uses the entered unit cost when supplied or the part's current unit cost when it is blank. Entering a transaction cost does not update the Unit Cost stored on Parts Inventory.
No. It is an Excel inventory and transaction tracker, not an accounting, tax, purchasing, legal, safety, DOT, or FMCSA compliance system. Vehicle and work order references provide context, but inventory balances are calculated by Part ID rather than by individual vehicle.
